Following the presentation of the system identification, description, and flowchart, this user's manual describes the computer reports, the user request form, and error messages of the Texas Juvenile Probation Activity System, a computerized system designed to receive data on juvenile probation activity.
Abstract
From the data collected, the system creates a master file containing juvenile probation activity and uses the master file to produce various reports, detailed and summarized. Data are collected three times a year from each county, and information is summarized and reported to the Texas Juvenile Probation Commission (TJPC) on the Official Juvenile Probation Monthly Report. Prior to being added to the master file, all data undergo an extensive edit procedure, which is performed to prevent erroneous data from being added to the master file. If errors are encountered during the edit, the data in error are entered on the master file, an error flag is set, and appropriate error diagnostics are printed to inform the user of the problem and to assist the user in correcting the data on the master file. After data have passed the edit procedure and been added to the master file, the reporting phase of the system may be used to produce various reports designed for TJPC. The basic report formats available to the user are (1) the Availability Report, which covers all counties and details which counties have data available for reporting by month; (2) the Population Report, which provides basic information on juvenile probation activity according to an alphabetic listing of counties and a ranking of counties by juvenile population; and (3) the Juvenile Probation Report, which has five reporting formats that differ in the type of information presented. Error messages are provided for each of the three types of reports.
